Administrative Assistant

Our Client’s London Office is looking for a full-time Administrative Assistant to be part of a dedicated team providing excellent levels of administrative support to internal staff. This role is integral to the efficient and effective running of the office.

This is an administrative position with a wide scope of duties which encompass travel planning and expense management, providing diary management for senior managers as well as working as part of a team providing flexible, pro-active and responsive support to an office of 100+ people.

As part of the administrative team you will be required to assist others in the team and stand in during absences, holidays and sickness in roles including, but not limited to, front of house reception and overseeing in-house events.


Based in our London office you will have the opportunity to:

Provide support for senior management in respect of their varying travel requirement

Investigate travel options and book appropriate travel, including any visa requirements.

Complete and submit all expense claims following any travel for senior management.

Provide pro-active diary management for senior management using MS Outlook.

 Ensuring urgent items are dealt with or highlighted and that the diary is well managed to take account of conflicting requests and demands.

 This will include coordinating and booking both external and internal meetings.

 Provide back-up receptionist duties during absences or busy periods.

 Provide general secretarial and administrative support in relation to producing and presenting data using Powerpoint, Excel and Word packages.

 Work closely with the administrative team to contribute wherever necessary to the overall administrative support provided to the region and to the office.

 Work with the administrative team to become familiar with all aspects of the admin roles within the office in order to provide back-up when necessary.


Experience of travel planning, expense claims and diary management

Excellent IT knowledge including MS Outlook, Powerpoint, Excel and Word

Excellent planning, organisational and time management skills
