Administrative Assistant and Receptionist

The Administrative Assistant/Receptionist provides support to the UK Business and the wider administrative team reporting to the UK Administration Manager.

Essential functions may vary widely depending on the team and may include, but not limited to the following essential functions:

Responsibilities:

Reception Duties:
• Provide reception cover
• Take all incoming calls and redirect within the company
• Assistant with reception area and meeting rooms
• Assist with printing name badges
• Assist with registering guests
• Screening calls and taking detailed, accurate messages where necessary
• Assist with the distribution of incoming and outgoing post and couriers

Administration Duties:
• Maintaining filing systems including helping to maintain the office Intranet site
• Weekly stationery inventories to ensure all stock is up to date and ordering more when necessary
• Photocopying, scanning and filing all company documents
• Printing and processing orders from online shops
• Packing orders when required
• Helping with queries, requests for information and general administration duties
• Other tasks as assigned

EA Duties:
• Scheduling and calendaring meetings across time zones
• Providing planning support, briefing papers and research to support calendar activities
• Completing and submitting expenses in a timely manner
• Travel logistics – scheduling and booking travel using on-line travel tool, conference bookings
• Assisting with internal and external events
• Collaborating with the UK Administrative Assistants to ensure sufficient cover and overflow

Skills and Requirements:
• Good organizational and time management skills
• Excellent verbal, written, and interpersonal communication skills
• An interest in the technology sector and venture capital / private equity transactions
• Proficient in Microsoft Office, Excel and PowerPoint
• Excellent attention to detail
• Uses initiative
• Comfortable working both individually and as part of a team
• Confident with all Microsoft Office packages,
• Polite telephone manner
